Who we are
Little Paper Hub is a small business run by Mia, a sole trader based in Woodford Green, London. Mia is responsible for your personal information (the "data controller"). If you have any questions, email mia@littlepaperhub.com.
What we collect
- Your details: name, email address, delivery address and phone number (if you give it).
- Your orders: what you bought and the personalisation you asked for, such as names, ages and messages. These may include details about the person the card is for.
- Dates you save: if you ask for reminders, the occasion, date and who it's for.
- Addresses of people you send cards to: when we post a card straight to someone, their name and address. See "People you send cards to" below.
- Little Paper Club: when you joined, your stamps and any free-card codes.
- Reviews: if you review an order, your star rating, what you wrote and the first name you give us, linked to that order.
- Your email choices: whether you've agreed to news and offers, and whether our emails are delivered and opened.
- How you use our website: collected by Shopify using cookies. See "Cookies" below.
We never see or store your card details. Payments are handled by Shopify and its payment partners.
How we use it, and why we're allowed to
- To make and deliver your order and contact you about it, because we need to in order to fulfil our contract with you.
- To run the Little Paper Club (stamps and free cards), because you've asked to join.
- To send reminders for dates you've saved, because you've asked us to. You can pause or remove any reminder, or stop them all, at any time.
- To ask how we did: about a week after your order is sent, we email you once to ask for a review (never more than one of these emails every 90 days). This is in our legitimate interest in hearing from customers and improving the shop. Every one of these emails has a link to stop them.
- To show your review publicly on our website with your first name only (never your surname, email address or order details), because you chose to leave it. You can change it for 60 days, and ask us to remove it at any time.
- To send news, new designs and offers, only if you've agreed, by joining the Little Paper Club (for example by ticking the loyalty club box at checkout or in your basket) or by turning them on in My account. These emails are part of club membership. Every email has an unsubscribe link; club members who unsubscribe leave the club, and can rejoin any time.
- To keep records that the law requires, such as sales records for HMRC.
People you send cards to
When you ask us to post a card straight to someone, you give us their name and address. We use it to post the card. Unless you untick "Save this address", we also save it to your address book, so you can pick them next time instead of typing it again. You can change or delete any address in My account › Addresses. We keep each address for 3 years after you last sent a card to it, then delete it. We never use these addresses to contact the person, for marketing, or for anything else.
Who we share it with
We never sell your information. We share only what's needed with the services that help us run the shop:
- Shopify: our online shop, checkout and payments.
- Royal Mail: your name and address, to deliver your order.
- Supabase: secure storage for reminder dates, Little Paper Club stamps and your address book.
- Resend: sends our reminder and Little Paper Club emails.
Some of these companies store data outside the UK, including in the USA. When they do, they use legal safeguards approved for UK data, such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
- Order records: 6 years, because HMRC requires it.
- Reminder dates: until you remove them or ask us to delete your data.
- Your address book: each address for 3 years after you last sent a card to it, then it's deleted automatically (sooner if you delete it yourself).
- Reviews: while they're shown on our website, or until you ask us to remove yours.
- Little Paper Club history: while you're a member and for 2 years afterwards, so we can sort out any questions about stamps.
- Email preferences: as long as we have your email address, so that we respect your choices.
Your rights
You can ask us to show you, correct or delete your personal information, to stop using it, or to send it to you in a portable format. Email mia@littlepaperhub.com and we'll reply within one month. Signed-in customers can also manage their reminders, saved addresses, emails and club membership in My account.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
Our shop runs on Shopify, which uses essential cookies to make the basket, checkout and sign-in work. With your permission, it also uses analytics cookies to help us see how the site is used. You can change your choice at any time using the cookie banner, or in your browser settings.
Our own site also remembers a few small things in your browser (not cookies, and no personal details): whether you're a Little Paper Club member, so we can welcome you back instead of asking you to join, and whether you arrived from one of our reminder emails. Clearing your browser data removes them.
